Software for horse farms & riding centres

# Your yard runs. As long as you are there.

Feeding plans in your head, appointments in your calendar, arrangements with boarders made in passing. Drop out for two weeks and nobody knows how things carry on. Toolyte gets that knowledge out of your head while you simply talk about how your yard works.

- Feeding plan for every helper
- Findings and treatments
- One calendar for the yard
- Boarders and invoices

Everyday life

## Sound familiar?

- ### The finding in a yoghurt pot.

While mucking out you notice something. You set it aside and mean to call the vet later. Until then nobody but you knows what is standing there, or why.

- ### The calendar only you can read.

Riding lessons, arena bookings, a children's birthday party, the farrier. All in there, but only in yours. Lose it and you lose the month.

- ### The feeding plan everyone reads differently.

Concentrate feed morning or evening, supplements per horse, bedding the way the boarder wants it. Agreed in passing. Your helper knows half of it.

- ### The invoice you retype every month.

Ten boarders, ten almost identical invoices, typed into the template again every month. Then the bank statement, to see who has paid.

None of this is carelessness. It is everyday life on a yard that one or two people carry. Only all of it sits in your heads. And heads drop out sometimes.

The turning point

## A yard manager talked for 2:12 minutes. That was all.

![Close-up of two hands holding and operating a phone](https://toolyte.com/pferdebetriebe/handy.webp)

> I run a horse farm and I want to create feeding plans, hay, concentrate feed, mineral feed, monitor the water supply, stable and pasture management, machine servicing, pasture servicing.

That is how the recording starts. The speaker manages a yard with boarding, lessons and its own training work, opening Toolyte for the first time. No form, no template, no consultant.

[Read and hear the transcript](https://toolyte.com/en/real-trades/software-for-horse-farms/voice-message/)

1. 1 Talk Say freely what comes up on the yard. No form, no consultant.
2. 2 Toolyte builds the structure Modules, fields and reminders as a proposal, matching what you said.
3. 3 You adjust Rename, add, remove. After that it runs in your own words.

Everything you need

## 13 modules. Built for this one yard.

Not a catalogue to pick from, but the result of this one conversation. For a breeding yard or a boarding-only stable it comes out differently.

- 1 Horse

Name, life number, boarder and stable area for every horse.

- 2 Customer

Contact, status and who looks after each boarder.

- 3 Feeding plan

Hay, concentrate and mineral feed per horse, readable for every helper.

- 4 Order

Bedding and feed with delivery date and stock level.

- 5 Supplier

Suppliers with a contact person and payment terms.

- 6 Facility

Stables, stalls, paddocks and arenas with the next care date.

- 7 Treatment

Findings, measures and the next appointment per horse. Visible to everyone, not just to you.

- 8 Contract

Term, notice period and amount for each boarder.

- 9 Booking

Amounts with due dates, open payments in plain sight.

- 10 Task

Who does what by when, stand-in included.

- 11 Appointment

Riding lessons, arena bookings and events in one calendar for the whole yard.

- 12 Machine

Inventory number, operating hours and the next service.

- 13 Insurance

Policies and official requirements with an expiry date.

Reminders

## Ten deadlines your yard keeps track of by itself.

Toolyte spots the date fields in your modules and proposes the matching reminder. You confirm it, change the lead time or discard it.

- In 14 days: vet appointment for Luna Treatment module · “Next appointment” field
- In 30 days: the Weber family’s contract expires Contract module · “End” field
- In 7 days: payment for stall 12 is due Booking module · “Due date” field

Invoicing

## Bill the boarding without switching programs

What the boarder pays and what the farrier, vet or feed merchant charges stays with the same horse and the same contract. No second program, no export, no spreadsheet on the side.

- ### The invoice to the boarder

Quotes, invoices, credit notes and cancellations are created on the customer record — boarding, training, lessons and extras as individual line items. The document then sits where the contract sits.

- ### What the farrier and the vet send

Upload the invoice or let it arrive by email: the AI reads issuer, number, date and amounts and proposes the record. Nothing is filed until you click.

- ### Open items and three dunning levels

Who has paid, who has not and since when. A payment reminder and two dunning letters, each with a deadline and an amount — exactly the invoice nobody chased.

- ### E-invoicing when it is required

As a ZUGFeRD PDF or XRechnung 3.0.2, validated against § 14 UStG and EN 16931 before it goes out. For riding clubs, councils or businesses with an invoice portal.

This is not bookkeeping: no chart of accounts, no DATEV export. Incoming invoices are read and filed, not approved or paid.

## Your yard is different, and so is the software

Toolyte builds the structure from your description. Whatever does not fit, you change yourself, with no technical knowledge.
