Software for pastry shops

# Pastry shop software born from a voice message

Orders, production, stock, purchasing, team and finances. A pastry chef spent 67 seconds describing what she needs. Toolyte turned it into 15 modules with 121 fields and four reminders. No template, no form.

- 67 sec Recording
- 15 Modules
- 121 Fields

The recording

## 67 seconds, told freely once

No questionnaire, no choosing from industry packages. The pastry chef pressed record and described her business the way she would explain it to a new employee.

I have my own pastry shop and I need an overview. First it's about the staff. I want to be able to manage working hours, shifts, vacation, sickness and tasks. Then it's about the customers. I want to store customer data, orders, preferences and notes. For orders I want to record layer cakes and cakes and manage pickups, deliveries and appointments. Then I need production. I want to see what has to be made today, what quantities are needed and who is responsible. In stock I want to see which ingredients and packaging are on hand and what needs to be reordered. In purchasing I want to manage my shopping list, suppliers and orders. Then I also need the finances area, meaning income, expenses, invoices and revenue. I also want to create tasks and assign my staff. And finally I want a simple overview where I immediately see what's on for today.

From these 145 words, Toolyte built the structure below. Every sentence of the recording shows up again as a module.

A day at the pastry shop

## A day at the pastry shop, with Toolyte in the background

This is what a Tuesday looks like once the 15 modules are running. Each stop shows which module kicks in and when Toolyte speaks up on its own.

1. 05:30

    ### Bakery: the daily plan

The day starts in the Production module: three rows for Tuesday, each with product, quantity, status and person responsible. What was Planned yesterday is now In progress.

    - Production
    - Product

    #### Fields at work

    - Production date
    - Product and quantity
    - Status: Planned, In progress, Finished
    - Person responsible

**Reminder:** On the production day, as long as anything is Planned or In progress.

2. 08:00

    ### A wedding cake is ordered

In the shop an order takes shape, with line items: product, quantity, price and specification, plus special requests and the status Inquiry. After the consultation it switches to Confirmed.

    - Order
    - Line item
    - Customer

    #### Fields at work

    - Order number and order date
    - Line items with unit and total price
    - Special requests
    - Payment status and payment method

**Document template:** Order confirmation, generated straight from the order.

3. 11:00

    ### Pickups and deliveries

Two pickups and one delivery are due, each an appointment with type, time, address, customer and linked order.

    - Appointment

    #### Fields at work

    - Type: pickup, delivery, consultation
    - Date and time
    - Address for deliveries
    - Status: Planned, Done, Cancelled

**Reminder:** On the day of the appointment, as long as it isn't done or cancelled.

4. 14:00

    ### Count stock, plan purchasing

The marzipan has dropped below minimum stock: reorder required. Purchasing bundles open items into a supplier order with an expected delivery date.

    - Supplier

    #### Fields at work

    - Current stock and minimum stock
    - Reorder quantity

5. 16:00

    #### Fields at work

    - Shift type with start and end
    - Assigned people
    - Working hours and break duration
    - Absence status: Requested, Approved

6. 18:00

    ### Till and paperwork

Income and expenses land as transactions with category and receipt. The wedding cake gets an invoice with a due date.

    - Transaction
    - Invoice

    #### Fields at work

    - Type: income or expense
    - Category and receipt
    - Net, tax and total amounts

**Document template:** Invoice with net, tax and total amounts.

**Reminder:** On the due date, as long as the invoice isn't paid.

### All day long · Tasks

“Collect the cake stand”, “call the supplier about cocoa”, “redecorate the window display”. Tasks carry priority, due date, people responsible and, optionally, a link to the order.

Task module 8 fields

**Reminder:** 1 day before the due date, as long as the task is open or in progress.

Reminders

## Four reminders that read the status

Toolyte spots date fields and suggests reminders with a condition attached. Whatever is finished, paid or cancelled no longer speaks up.

- Module · Task

    ### 1 day before the due date

Done and aborted tasks no longer remind.

- Module · Appointment

    ### On the day of the appointment

Completed and cancelled appointments stay quiet.

- Module · Production

    ### On the production day

Stops firing once the status is Finished or Aborted.

- Module · Invoice

    ### On the due date

Paid and cancelled invoices stay silent.

The lead time can be changed per module. If you'd rather see the wedding cake three days ahead, enter three days on Production.

Customization

## No two businesses are alike

The structure above is a proposal from one recording. Every business describes itself differently, so the result looks different. And everything stays editable.

- ### Cake studio without a storefront

    Remove modules

Commission work only: the focus is on orders, appointments and production. Stock and purchasing stay lean or go entirely.

- ### Pastry shop with a café

    Add modules

Tables, reservations and daily pastries join in, as their own modules, as soon as they come up in the recording.

- ### Bakery with delivery rounds

    Add fields

Delivery routes and vehicles get their own fields on the appointment. Individual pickups become planned rounds.

- ### Family business without a shift plan

    Start leaner

If you don't need shifts, drop Shift and Working time. The other modules remain untouched.

Rename, add fields, remove modules, adjust reminders. All without technical knowledge and without a migration.

Frequently asked questions

## Software for a pastry shop, explained briefly

### How do I set up software for my pastry shop?

You describe your business in a voice message: customers, orders, production, stock, team, finances. Toolyte builds modules, fields, links and reminders from it. In the example above, 67 seconds became 15 modules with 121 fields. After that you adjust the structure yourself.

### How do I manage cake orders with pickup and delivery?

An order has line items with product, quantity, price and specification, plus special requests and a status from Inquiry to Completed. Pickup, delivery and consultation are appointments linked to customer and order. The order confirmation is generated as a document straight from the order.

### Can I plan production for the day?

Yes. The Production module keeps one row per item with production date, product, quantity, status and person responsible. On the production day, Toolyte reminds you of everything still Planned or In progress.

### How do I keep track of ingredients and reorders?

Every stock item has current stock, minimum stock and reorder quantity, and knows its supplier. Purchasing bundles open items into a supplier order with an expected delivery date.

### Is there a shift plan and time tracking for my staff?

In the example, Shift, Working time and Absence emerged as their own modules because the pastry chef mentioned them first. Working hours attach to shifts; absences have a status from Requested to Approved.

### Do I have to pick templates or industry packages?

No. There is no fixed template. The structure grows out of your description and looks different for a cake studio than for a pastry shop with a café.

### Can I change modules and fields later?

Yes, at any time and without technical knowledge. That goes for fields, modules, reminders and their conditions.

### What does Toolyte cost?

Test it free for 14 days, no credit card. After that, Toolyte starts at €28 per user per month.
